Village Green Co-operative Homes Inc. is seeking a full-time, permanent Property Administrative Coordinator in Brampton.
Founded in 1979, our housing co-operative has 116 stacked townhouses encompassing 3 streets. Reporting to the co-op’s elected Board of Directors, the Coordinator will oversee and be
accountable for the day-to-day operations of the co-op. The Coordinator works with the Operations Manager, maintenance staff, directors, and members through co-op committees to
develop and maintain systems with shared responsibility and foster democratic governance of our Housing Co-operative.
Duties and responsibilities include:
- Reporting to the Board of Directors, the Property Management Coordinator’s job is to oversee and be accountable for the daily operations and to be the first point of contact for our members
- Overseeing the property maintenance and repair program
- Ability to handle confidential information with discretion and in a professional manner
- The Coordinator will ensure the overall good standing of the co-op and provide administrative support, and maintenance administration. This includes member and corporate administration services, property management, trade coordination, community, and governance support.
- Provide general administration and support to the Board of Directors, several committees, all general member’s meetings, including preparing meeting minutes.
- Attendance at all committee, board and member’s meetings are mandatory (you can expect to attend 2-3 evening meetings monthly).
- Ensuring that the co-op fulfills its legal and corporate obligations, legal issues, arrears, and subsidy administration while liaising with all agencies affecting co-op housing in Ontario (including PHCHF, CHF Canada, CMHC, etc)
- Collaboratively working with the Operation’s Manager to manage the co-op’s finances
The ideal applicant will have:
- A working knowledge of the Co-operative Housing sector and Cooperative Principles
- Knowledge of Non-profit Property Management and a willingness to enhance knowledge with training
- An ability to work with limited direct supervision and be a self-starter with strong positive leadership skills
- Strong interpersonal skills, oral and written communication skills, and experience working with diverse populations
- Be interested in community building, and encouraging members to volunteer in their community, while also maintaining their unit and property and being respectful neighbours
- Have strong conflict management skills, and be able to problem solve issues with empathy, professionalism, and well-maintained boundaries
- Possess excellent time management and organization skills, with the ability to prioritize tasks and delegate when appropriate, ensuring projects are completed in a timely manner and files are maintained and updated regularly. Be able to handle stress in a busy office environment
- Be tech savvy, comfortable using Microsoft Office, Google Drive, Excel, NewViews, Cloud services and able to easily learn to use new technology as needed,
- Network with other stakeholders, such as other Housing Co-operatives, the Region of Peel, and Co-op Consultants to make informed decisions and brainstorm ideas
- A minimum of 2 years of Office Administration experience in the Co-operative Housing Sector
- Able to apply logic and reasoning to effectively manage projects, analyze financial, legal, and contractual problems and provide solutions and recommendations
- Knowledgeable of Rent Geared to Income (RGI) and Cooperative By-laws an asset
- Working effectively within a cooperative management and governance structure
